Tracking True Ups & State-Based Pay Differences in ComTrack

ComTrack doesn’t yet have a dedicated True Up Tracker or state-by-state commission setup — those features are planned for the future. However, the current Reconcile method will get you 90–95% of the way there with a simple, consistent process.

This guide shows you how to:

  • Track true ups in Reconcile
  • Handle higher commission rates in certain states (Medicare Advantage & MedSupp)

Current Approach

The key idea:

  • Enter the minimum amount you expect to receive (national average or lowest state rate).
  • If a true up or higher state rate applies, it will show as an overpayment in Reconcile.
  • This lets you confirm that extra payments were received without needing a separate tracker.

Tracking True Ups

  1. In Reconcile, set the Advance Value to the base amount you expect for an advance payment.
    Example:
    • Medicare Advantage Advance Value = 313.00
  2. Set the Renewal Value to the base renewal rate.
    Example:
    • Renewal Value = 26.08
  3. Do not enter the “true up” rate directly.
    • If a true up is paid, it will appear in Reconcile as an overpayment.
    • While it won’t calculate the exact true up owed, it will confirm that extra money was received.

Handling Higher Commission States

If certain states (e.g., NJ, PA, CA) pay more than the base:

  1. Enter the minimum expected commission in Advance Value and Renewal Value.
    • Example:
      • Advance Value = 313.00 (minimum across all states)
      • Renewal Value = 26.08
  2. When you reconcile:
    • In standard states, you’ll see 0 difference (paid exactly the minimum).
    • In higher-paying states, you’ll see a positive difference (overpayment) equal to the extra amount paid.

Example Output:

State Expected Received Difference
Standard $24.00 $24.00 $0.00
NJ/PA/CA $24.00 $25.50 $+1.50

MedSupp & Percentage-Based Pay

For MedSupp or life insurance with percentage-based commissions:

  1. Set Advance Type to Percentage.
  2. Enter the lowest percentage you receive nationwide.
    • Example: Most states = 19%, some states = 20–21% → enter 19%.
  3. Reconcile will:
    • Show 0 when you’re paid the minimum.
    • Show a positive difference when you’re paid more in certain states.

Why This Works

  • You’re always tracking against your minimum guaranteed rate.
  • Any extra pay (true ups, higher state rates) appears as a surplus — which is what you want to confirm.
  • No need to pre-configure rates for every state or carrier.

Summary:
Until the dedicated True Up Tracker and state-based pay mapping are released, the best method is to enter your minimum expected rates in Reconcile. Surpluses will flag higher payments, ensuring you still verify that true ups and higher state rates were paid correctly.
