Reconciling Commissions in ComTrack
The Reconcile feature lets you compare the commissions you should have received from each carrier against what was actually paid. This makes it easy to spot underpayments, overpayments, and other discrepancies — helping you resolve issues quickly and ensure you’re getting paid correctly.
How Reconcile Works
Reconcile operates on an agent + carrier basis. You enter your expected commissions (either a dollar amount or percentage), and ComTrack calculates the difference between that and the actual commissions recorded.
For each agent-carrier pair, you can set:
Advance Type: Dollar amount or percentage
Advance Value: Expected commission amount
Advance ProRate: Whether advances are prorated during the calendar year (common for Medicare Advantage)
ComTrack will:
Calculate the expected commission for each policy.
Compare it to the actual commission received.
Display the difference in the Reconcile column in All Time.
Setting Up Reconcile
In Home, click Unhide Reconcile at the top.
Identify the agent + carrier you want to set up.
-
For Advances:
Choose Dollar Amount or Percentage Amount.
Enter the expected commission (e.g.,
$301.00).-
Set Prorate to:
Yes for products like Medicare Advantage where advances are prorated by effective date.
No for products like MedSupp or Life Insurance where advances aren’t prorated by effective date.
-
For Renewals:
Enter the expected commission amount (e.g.,
$25.50).
Example: Renewal Reconciliation
Agent: Bruce Wayne
Carrier: Cigna
Expected Renewal Commission: $27.00
Actual Commission Received: $25.50
ComTrack will show:
Expected: $27.00
Received: $25.50
Reconcile: -$1.50
A negative number means you were underpaid; a positive number means you were overpaid.
Bulk Editing Tips
-
Drag Down Values: If multiple agent + carrier share the same settings, enter it once and drag down to copy.
If dragging causes numbers to increase (301 → 401 → 501), hold Shift or Command before dragging to duplicate instead of increment.
Use Agent Lists: Filter by a specific agent list to apply settings in bulk.
Handling Notes in Reconcile
If you investigate a discrepancy and determine it’s fine, you can add a note directly in All Time in the Reconcile column (e.g., “All good” or “Figured out”).
Important: Notes are preserved — ComTrack will not overwrite a cell if the value begins with a letter.
If the cell starts with a number, it’s treated as a commission value and will be recalculated on the next reconcile.
Prorated Advances
When Advance ProRate = Yes, ComTrack will automatically calculate a prorated commission based on the policy’s effective date and the remaining months in the year.
Example:
Expected full-year advance:
$301.00Effective date: June 1
Prorated amount:
$175.57(based on remaining months)
Percentage-Based Commissions
For products like MedSupp or Life Insurance that have premiums:
Choose Percentage Amount as the advance type.
Enter the expected percentage.
ComTrack will multiply the premium by the percentage to calculate the expected commission.
Clearing & Adjusting
If you need to change a setting:
Update the advance/renewal values.
Re-run Reconcile to see updated results.
Any notes you’ve added will remain untouched (unless replaced with a number).
Summary:
Reconcile is your commission accuracy watchdog. By setting expected amounts and reviewing differences, you can quickly identify issues, resolve them, and avoid missed revenue.
